Cancellation & Refund Policy

This Cancellation and Refund Policy explains how cancellations, renewals, and refunds work for Examrix subscriptions and other paid digital products.

Examrix is a digital medical education and exam preparation platform. Our products include online question banks, practice modes, timed examination modes, progress tracking, educational analytics, anonymised peer comparison, AI viva practice, Viva RealTalk Exams, and related digital learning tools.

Examrix uses Stripe as its merchant of record and payment processing provider. This means that Stripe may process your payment, manage applicable taxes, issue invoices or receipts, and assist with refunds, chargebacks, cancellations, and subscription administration.

By purchasing an Examrix subscription or paid digital product, you agree to this Cancellation and Refund Policy, together with our Terms of Service and Privacy Policy.

1. Subscriptions

Examrix products may be offered as recurring subscriptions, fixed-term subscriptions, free trials, promotional access periods, or one-off digital purchases.

When you purchase a subscription, you will receive access to the relevant Examrix product or service for the subscription period selected at checkout.

Your subscription may renew automatically unless cancelled before the renewal date. The renewal frequency, price, billing period, and any applicable taxes will be displayed at checkout or in your payment confirmation.

By starting a subscription, you authorise Stripe to charge your selected payment method for the initial subscription period and any applicable renewal periods, unless you cancel in accordance with this policy.

2. Automatic Renewal

Unless stated otherwise at checkout, Examrix subscriptions renew automatically at the end of each billing period. For example:

  • a monthly subscription will usually renew each month;
  • an annual subscription will usually renew each year;
  • a fixed-term non-renewing subscription will end automatically at the end of the stated access period.

You are responsible for cancelling your subscription before the renewal date if you do not want it to renew.

3. How to Cancel a Subscription

You may cancel your Examrix subscription at any time. You can usually cancel by:

  • using the subscription management link provided in your Stripe receipt or payment confirmation email;
  • accessing your billing or account management area within Examrix, where available;
  • contacting Examrix support at support@examrix.com;
  • contacting Stripe support where your payment or subscription is managed directly by Stripe.

Cancellation prevents future renewal charges. Unless stated otherwise, cancellation does not automatically generate a refund for the current subscription period.

4. Effect of Cancellation

If you cancel a recurring subscription, your access will usually continue until the end of the current paid billing period.

For example, if you cancel a monthly subscription halfway through the month, you will generally retain access until the end of that monthly billing period, but you will not be charged for the next month.

Cancelling a subscription does not delete your Examrix account. You may still be able to log in to your account, but access to paid features may end when your subscription expires.

5. 30-Day Money-Back Guarantee

We offer a 30-day money-back guarantee. If you are not satisfied with your purchase, you can request a full refund within 30 days of your order date and we will refund you, no questions asked.

Refunds are processed by our payment provider, Stripe. To request a refund, use the billing portal linked in your account or contact our support team at support@examrix.com.

The only exception is where a request is fraudulent, abusive, or made in bad faith. Nothing in this policy limits any statutory rights you may have under applicable consumer law.

6. EU and UK 14-Day Cooling-Off Rights

If you are a consumer resident in the European Union or United Kingdom, you may have a legal right to cancel an online purchase within 14 days without giving a reason.

For digital content or digital services, this right may be affected where you request or consent to immediate access to the digital product or service and acknowledge that doing so may limit or waive your right to cancel once performance has begun, to the extent permitted by applicable law.

Because Examrix provides immediate access to digital educational content and online subscription services, your statutory cancellation rights may depend on:

  • whether you are purchasing as a consumer;
  • your country of residence;
  • whether you requested immediate access;
  • whether you acknowledged that immediate access may affect your right to cancel;
  • how much of the service you have used;
  • applicable local consumer protection rules.

Nothing in this policy limits any statutory rights you may have under applicable consumer law.

7. Free Trials and Promotional Offers

Examrix may offer free trials, discounted subscriptions, introductory offers, beta access, or promotional access from time to time. The specific terms of any free trial or promotional offer will be displayed at the time of sign-up.

Unless stated otherwise:

  • only one free trial or promotional offer may be used per person;
  • eligibility may be limited;
  • promotional pricing may apply only for the stated promotional period;
  • after a trial or promotional period ends, your subscription may automatically convert to a paid subscription if payment details have been provided and this was clearly disclosed at sign-up;
  • you must cancel before the end of the trial or promotional period if you do not wish to be charged.

8. Renewals

Our 30-day money-back guarantee also applies to renewal charges: if a subscription renews and you no longer want it, request a refund within 30 days of the renewal date via the billing portal or our support team and we will refund it.

You can cancel at any time to prevent future renewals.

9. Technical Issues

If you experience technical issues that prevent you from accessing or using Examrix, please contact us at support@examrix.com as soon as possible.

We may ask you for information to help investigate the issue, such as your account email, device type, browser, screenshots, error messages, and the date and time of the problem.

Where a verified technical issue caused by Examrix materially prevents access to the service, we may, at our discretion, offer:

  • technical support;
  • an extension of access;
  • account credit;
  • a partial refund;
  • a full refund.

Refunds are not generally provided for issues caused by unsupported devices, poor internet connectivity, local browser settings, third-party software, institutional firewalls, or user error, unless required by applicable law.

10. How to Request a Refund

Refunds are processed by our payment provider, Stripe. The quickest way to request one is from the billing portal linked in your account and receipts, using the email address you used at checkout or the links in your Stripe receipt.

You can also contact us directly at support@examrix.com and we will arrange the refund with Stripe on your behalf.

It helps if you include:

  • your full name;
  • the email address linked to your Examrix account;
  • the product or subscription you wish to refund;
  • the date of purchase;
  • any relevant receipt or Stripe transaction details.

We aim to review refund requests promptly. In most cases, we aim to respond within 3 business days, although complex cases may take longer.

11. Approved Refunds

If your refund is approved:

  • the refund will usually be made to the original payment method;
  • Stripe may process the refund on behalf of Examrix;
  • access to the refunded product or subscription may be removed or terminated;
  • refund processing times may vary depending on Stripe, your bank, card provider, payment method, or country.

Refunds may take several business days to appear in your account after they have been processed.

12. Partial Refunds, Credits, and Extensions

At our discretion, we may offer a partial refund, account credit, or access extension instead of a full refund. This may apply where:

  • you have used part of the subscription period;
  • you experienced a temporary technical issue;
  • there are extenuating circumstances;
  • a full refund would not be appropriate;
  • a goodwill resolution is suitable.

We are not obliged to offer credits, extensions, or partial refunds unless required by applicable law.

13. Exceptional Cases

Our 30-day money-back guarantee applies to requests made within 30 days of purchase. Outside that window, or where a request appears fraudulent, abusive, or made in bad faith, refunds are assessed on a case-by-case basis, subject to applicable consumer law.

Where you purchased access through a third-party platform that controls its own refund process, you may need to request the refund from that platform.

14. Third-Party Purchases

If you purchase Examrix through a third-party platform, app store, institution, employer, reseller, or other external provider, refunds and cancellations may be governed by that third party's own policies.

In such cases, you may need to contact the relevant third party directly.

15. Institutional, Group, or Bulk Licences

Institutional, group, enterprise, hospital, university, or bulk licence purchases may be subject to separate written terms.

Unless stated otherwise in a separate agreement, refunds for institutional or bulk purchases are assessed on a case-by-case basis and may depend on:

  • the number of licences purchased;
  • whether licences have been activated;
  • whether users have accessed the service;
  • the duration of access already provided;
  • the terms agreed with the institution or purchaser.

16. Account Termination and Breach of Terms

If your account is suspended or terminated because you breached our Terms of Service, misused Examrix, shared login credentials, attempted to scrape or copy content, engaged in fraud, or otherwise abused the service, you may not be entitled to a refund.

This does not affect any statutory rights you may have under applicable law.

17. Changes to This Policy

We may update this Cancellation and Refund Policy from time to time.

When we make changes, we will update the "Last updated" date above. Where required by law, we may also notify users by email, in-app notice, or another appropriate method.
